Who we are
PubCrawlPro ("we", "us") provides software for running and joining pub crawls. We act as the data controller for personal data described in this policy and process it in accordance with the EU General Data Protection Regulation (GDPR).
Data we collect
Operators: name, company name, city, email address, password (stored only as a secure hash), estimated event volume, and billing details (legal name, address, VAT number, invoice email).
Participants: the display name you choose, a hashed 6-digit PIN, and the activity you create on a crawl — pub ratings, comments, logged drinks, optional photos, profile picture, and buddy messages.
Technical: limited device and usage information needed to operate the app, plus push notification tokens if you enable alerts.
How and why we use it
We process your data to:
- create and manage operator and participant accounts (contract performance);
- run crawls — leaderboards, ratings, buddy pairing, and notifications (contract performance);
- take payment and send invoices (contract and legal obligation);
- secure the Service and prevent abuse (legitimate interest);
- respond to support requests (legitimate interest).
Payments
Payments are handled by Mollie, our payment provider. We receive confirmation of a payment and limited transaction metadata, but we do not store your full card or bank details. Mollie processes payment data under its own privacy terms.
Processors and hosting
We host application data with Supabase and process payments through Mollie. These providers act as our processors under data processing agreements and only handle data on our instructions. Where data is transferred outside the EEA, we rely on appropriate safeguards such as the EU Standard Contractual Clauses.
Retention
We keep account data for as long as your account is active. Participant data tied to an event is retained to keep the crawl's history coherent and is removed when you delete your participant account. Invoicing records are kept as required by applicable tax law. You can delete your account at any time from your settings.
Your rights
Under the GDPR you have the right to access, rectify, erase, restrict, or object to processing of your personal data, and the right to data portability. You can exercise most of these directly in the app (editing your profile, deleting your account) or by contacting us. You may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Cookies and local storage
We use your browser's local storage to keep you signed in to a crawl and to remember preferences such as your theme. We do not use third-party advertising trackers.
Children
PubCrawlPro is not directed at children. Because crawls involve venues that may serve alcohol, the Service is intended for adults of legal drinking age.
